UQ Medicine milestone reviews are organised by the student and their advisory team. The student will need to start organising their next Milestone Review at least 7 weeks before it is due. It is the Principal Advisor's responsibility to ensure that these reviews take place in a timely fashion.

At least 1.5 hours should be set aside for the review to ensure adequate time is available for discussion.

Milestone process

Process

  1. At least 4 weeks before the Milestone is to be held, students are to complete Section 1 of their Milestone form and email it to your PGAO along with their Milestone document/s. 
  2. If the Milestone doc/s are not ready yet, the candidate should send the form alone to their PGAO with the Milestone document/s following as soon as possible.  If your documents are very large, you may wish to use Cloudstor and share the link with your PGAO, your Advisors and Review panel.
  3. At the same time that Section 1 is emailed to the Faculty, the candidate should send a blank Section 2 to their Principal Advisor for completion.
  4. Principal Advisors are to email completed Section 2 forms to the relevant PGAO by by 4 weeks prior to the student's proposed presentation/interview date.
  5. Candidates should preview Section 3 (Chair's section) of the form so that they are aware of the criteria that the Review Panel members are considering in the process. 

Reviews are intended as an opportunity for students and advisors to take stock of progress, to plan the next stages and to identify and resolve any problems, with input from others with relevant responsibility (University Discipline Head or other Laboratory Heads) or expertise. They are an important mechanism by which the University meets its responsibility to ensure that students have high-quality supervision, mentorship and access to resources.  If the candidate or other parties involved in the process are physically remote, the process can be facilitated by Skype, video-link or teleconferencing. 

Confirmation of candidature

Confirmation of candidature will take place 12 months FTE (PhD) or 6 months FTE (MPhil) after commencement.

Confirmation review panel

  • RHD milestone review panels should comprise a Chair, Members of the advisory team and two independent reviewers.
  • The Chair will ideally oversee all milestones and be the Chair of examiners for the thesis assessment.
  • Chairs of RHD student review panels will have RHD advisory experiences, but not necessarily student completions.
  • Chairs may come from the units in which the students are located.
  • Independent readers can be from any academic unit and should have a good understanding of the thesis topic.
  • One member of the review panel should ideally be from the enrolling unit.

Confirmation review document

  • Format: 1.5 space, 12 point Times New Roman, and 2 cm margins

(a) Literature review (15 to 20 pages). Critical review, including identification of knowledge gaps.

(b) Aims (1 page)

(c) Preliminary data (max. 5 pages)

(d) Research proposal and timeline (max. 5 pages)

  • Reports should be submitted 4 weeks prior to the confirmation seminar and interview to enable written feedback to be provided to students.

Confirmation review seminar

  • Milestone presentations are advertised either via the enrolling units’ websites or internal newsletter.
  • 20 minutes presentation and 10 minutes question time, open seminar.

Confirmation review interview

  • Interviews should take place immediately after the oral presentations (i.e. on the same day).
  • Interviews should comprise:

~10 minutes with both the student and supervisors
~10 minutes with only the student
~10 minutes with only the supervisors

If confirmation milestone is not passed

Student to follow recommendations of review panel. This would rarely entail a complete resubmission.

Mid-candidature review

Mid-candidature review will take place 12 months FTE (PhD) or 6 months FTE (MPhil) after the official confirmation milestone due date.  MPhil candidates may combine MCR with Thesis Review under certain conditions*.

Mid-candidature review panel

  • The review panel should comprise a Chair, Principal advisor(s), and at least one independent reader.
  • The Chair, advisors, and independent reader should preferably be the same people as on the Confirmation milestone review panel, if available.
  • If possible, the Associate advisor(s) should also be present.
  • The meeting should either be in person, or via teleconference.

Mid-candidature review documents

Suggested format:

  1. Research summary (~1 page)
  2. Outline of thesis plan (including a quarter by quarter Gantt chart)
  3. One of the following: completed or draft ‘results’ chapter, or a draft journal paper, to which the student has contributed substantially.
  4. Plans for conference attendance
  5. Career development plan

Reports, plus completed Sections 1 and 2 of the form, should be submitted 4 weeks prior to the MCR seminar and interview to enable written feedback to be provided to students.

Mid-candidature review seminar 

  • The seminar should be in the same format as confirmation.
  • Alternatively an oral presentation (at least 10 minutes) at a national or international conference at which at least one member of the advisory team is present, is acceptable.

  • Interviews should take place immediately after the oral presentations (i.e. on the same day).
  • Interviews should comprise:
    • ~10 minutes with both the student and supervisors
    • ~10 minutes with only the student
    • ~10 minutes with only the supervisors

 

Thesis review

Thesis review will take place 12 months FTE (PhD) or 6 months FTE (MPhil) after the official mid-candidature milestone due date.

Thesis review panel

  • The review panel should comprise a Chair, Principal advisor(s), and at least one independent reader.
  • The Chair, advisors, and independent reader should preferably be the same people as on the Confirmation milestone review panel, if available.
  • If possible, the Associate advisor(s) should also be present.
  • The meeting should either be in person, or via teleconference.

Thesis review documents

All of the following (1-5) to be submitted:

  1. Thesis preliminary pages as per point 4 of this webpage
  2. Expanded contents/outline of thesis
  3. A draft of at least one complete chapter for the thesis (not the Introduction chapter - preferably the Discussion chapter) OR a copy of a manuscript that has arisen from the thesis
  4. An outline of the publications that will arise from the RHD research
  5. A list of potential thesis examiners (noting the Graduate School’s COI policy)

Reports, plus completed Sections 1 and 2 of the form, should be submitted 4 weeks prior to the TR seminar and interview to enable written feedback to be provided to students.

Thesis review seminar 

  • 20 minutes oral presentation followed by 10 minutes of questions
  • Alternatively, an oral presentation (at least 10 minutes) at a national or international conference, at which at least one member of the advisory team is present, is acceptable

Thesis review interview

Interview should take place immediately after the oral presentation (unless conference presentation is substituted).

Interviews should comprise:

  • ~10 minutes with both the student and supervisors
  • ~10 minutes with only the student
  • ~10 minutes with only the supervisors

Upgrading from MPhil to PhD

MPhil students who wish to upgrade to a PhD first need to complete their MPhil Confirmation; this usually occurs 6 months (FTE) after starting the program.

When the MPhil confirmation has been approved, you then need to complete a Change of Research Higher Degree Program form, on which you'll need to:

  • describe how your project has increased in scope and duration appropriate for a PhD
  • state the additional resources required to extend to PhD 
  • state that your advisory team has agreed to supply the additional resources to support the project to PhD completion

Send the completed Change of Research Higher Degree Program form, which has been signed by you and your Principal Advisor, to rhd@som.uq.edu.au .  The SOM RHD office will arrange for the signature of the Postgraduate Coordinator and will forward the form to the Graduate School.  Upgrade to PhD will not be automatic as each application is considered on a case-by-case basis. 

If the upgrade is approved you will be considered to be a provisional PhD candidate and will have to do another Confirmation of Candidature at PhD level.  The date for this Confirmation of Candidature will be set by the Graduate School and is normally 12 months FTE from the date of commencement of your MPhil, ie, 6 months FTE after the date of MPhil Confirmation.

Extensions

Candidates are required to complete each of their Milestones by or before the due date.  The due date of every student's next Milestone is specified in SI-net. 

Candidates seeking an extension should follow this process:

  1. Log into your mySI-net page for the due date of your next Milestone. Refer to the Menu on the left-hand side - Research / Candidature.
  2. Read the Graduate School's policy on Milestone Extensions.
  3. If you won’t be able to complete your Milestone by the due date, complete an Attainment or Extension of Milestone form.  This form needs to be signed by your Principal Advisor.
  4. Submit the completed form to the School’s RHD office (rhd@som.uq.edu.au) at least 3 weeks before the Milestone due date.
